The regulatory landscape in India presents persistent challenges for the retail business, particularly after stores become operational. Retailers need the correct information and know-how to understand the compliance requirements for GST, TDS, and other laws required to run a retail store business in India. They need knowledge about regulatory requirements to comply with national, state, and municipal laws.

Whether you are a small boutique store, a large departmental store, or a supermarket chain, this guidebook will help you to navigate annual compliance requirements for the FY 2026-27.

Understanding the Regulatory Landscape

The operational phase entails continuous adherence to a multitude of compliance requirements stemming from various central, state, and local regulations. Here’s an overview of the complexities faced by the retail industry:

Multifaceted Compliance Requirements: After stores are operational, the retail industry needs to navigate approximately 100+ compliance requirements per store, with slight variations across different states. These compliance requirements span diverse aspects such as licensing, labor laws, taxation, environmental regulations, and other statutory obligations.

State-Specific Variations: The regulatory environment in India is characterized by significant variations from state to state, leading to the need for the retail industry to tailor their compliance efforts according to the specific requirements of each state.

Challenges of Scale: Managing compliance for a large retail chain with multiple stores across different states increases the complexity owing to a diverse set of regulations across various geographical locations.

Non-compliance leads to Penalties: The repercussions of non-compliance for retailers can be severe, including financial penalties, loss of business licenses, closure orders, and legal proceedings. Additionally, non-compliance can tarnish the business’s reputation, leading to a loss of consumer trust and goodwill.

Year-end compliances ensure that your retail store business stays within the regulatory parameters, and no penalties, fines, or legal action can be taken against you by any authority.

FY 2026-27 Compliance Requirements: A Complete Checklist

#1 Financial and Income Tax Compliance

Retailers must adhere to various financial regulations and reporting requirements to ensure that their operations are in line with the taxation law in India. This includes accurately recording and reporting sales, expenses, and profits, as well as keeping track of inventory and assets. By maintaining proper financial records, retailers can demonstrate transparency and accountability to tax authorities and investors.

Following the policies and laws set using tax government and monetary regulators is called economic and earnings tax compliance. This way, retailers can report financial data and pay taxes as the regulation requires.

How can retailers ensure annual tax compliance?

Accuracy: Making sure that specific financial statements and tax returns are proper and accurate.

On-Time: Filing tax returns and economic reviews via the cut-off date to avoid fees. For retailers with business without audit requirements, the last date to file income tax returns is 31st July 2026 for Financial Year 2026-27. For retailers with audit requirements, the cut-off date to file returns is 31st October 2027.

Clear: Being open and honest about financial transactions and reporting.

Records: Maintaining digital records of all invoices, bills, expense reports, profit and loss statements, and deductions.

Critical Components of Financial and Income Tax Annual Compliance:

Transaction Tracking
Maintain information on all sales and charges through receipts and invoices.

Taxable Income Calculation
Determine the taxable earnings by deducting allowable expenses from total sales revenue.

Tax Optimization
Identify and follow applicable deductions and tax credits unique to shops.

Tax Form Preparation
Accurately complete all vital tax forms and sales and earnings tax returns.

Tax Filing
Submit tax returns and bills to the applicable tax government using the required closing dates.

Financial Review
Periodically assesses economic documents to ensure accuracy and compliance with tax regulations.

Pro Tip: Retailers can rely on robust accounting systems. These systems help retailers track their income and expenses, generate necessary financial reports, and facilitate the preparation of GST returns.

#2 Goods and Services Tax (GST) Compliance

To ensure annual Goods and Services Tax (GST) compliance before the financial year-end, retailers in India must undertake several crucial steps to fulfill their regulatory obligations.

key aspects of annual GST compliance for retailers:

1. Review Annual Turnover: Assess the annual turnover to determine if it exceeds the prescribed threshold for GST registration. Ensure compliance with the threshold for businesses operating within a single state and those operating inter-state.

2. Invoice Compliance: Verify the accuracy and completeness of tax invoices and Bills of Supply issued for taxable sales made to registered and unregistered entities. Ensure that all necessary details, including GSTIN, item description, value, tax rates, and HSN codes, are correctly included in the invoices.

3. Tax Rate Verification: Verify the correct application of GST rates for all products and services to avoid compliance issues. Reconcile the tax rates applied with the prescribed GST rate categories and exemptions.

4. Timely Return Filing: Plan and prepare for the timely filing of various GST returns, including GSTR-1, GSTR-3B, and GSTR-9 as per the prescribed filing dates and frequency. Ensure accurate filing to avoid penalties and facilitate the smooth flow of input tax credits.

5. Input Tax Credit (ITC) Reconciliation: Reconcile purchase records with details available on the GST portal to accurately claim and utilize input tax credit. Verify supplier GST compliance and maintain relevant documents such as tax invoices for ITC claims.

6. Internal Audit Preparation: Proactively conduct internal audits to identify and rectify any compliance gaps. Prepare for periodic audits and assessments by the GST authorities by maintaining accurate records and financial data.

#3 Tax Deducted at Source (TDS) Compliance

Tax Deducted at Source (TDS) Compliance refers to following regulations of tax deduction and remittance at the source of income. Tax is deducted when the taxpayer makes payments to the payee, after that the deducted amount is transferred to the government on the payee’s behalf.

Retailers are required to deduct TDS on payments made to suppliers, contractors, or service providers if the payment exceeds a certain threshold. This ensures that the government receives its due tax revenue at the time of payment itself.

TDS compliance includes deducting and depositing taxes on diverse bills in line with the Income Tax Act of 1961 provisions.

Critical Aspects of Annual TDS Compliance for Retailers:

Identification of TDS Applicability
Determine whether TDS applies to specific payments or not based on the type of transaction and the thresholds established by tax authorities.

Correct Deduction and Rates
Ensure the precise deduction of TDS at the prescribed costs per the Income Tax Act for diverse bills.

Timely Deposit
Deposit the deducted TDS amount on the targeted due dates to avoid interest and consequences.

Filing TDS Returns
File TDS returns appropriately and on time, presenting information of TDS deducted and deposited at some point in the relevant period.

TDS Certificate Issuance
Issue TDS certificate to deductees (recipients of income) as proof of TDS deduction, containing info and the quantity deducted and deposited.

Compliance with TDS ProvisionsAdhere to the policies and provisions laid down through the Income Tax Act concerning TDS deduction, deposit, and reporting.

#4 Shops and Establishment Act Compliance (Professional Tax)

The Shops and Establishment Act certificate of occupancy is issued by the Municipal Corporation of the city to every retail shop within the city limits as part of the legal registration process.

This certificate imposes specific restrictions and requirements on the retail shop, including:

Shop Opening and Closing Times: It may specify the permitted operating hours for the retail shop.

Designated Weekly Holiday: The certificate may outline a specific day of the week when the store must remain closed.

Adherence to Wage and Salary Rules: The certificate may include regulations related to employee wages and salaries.

Precautions for Storing Hazardous Chemicals: It may detail safety measures for the storage of hazardous chemicals, ensuring the safety of employees and customers.

Fire Prevention Measures: The document may specify requirements for fire prevention and safety measures within the retail store.

Housekeeping and Cleanliness Standards: The certificate may include guidelines for maintaining a clean and hygienic environment within the retail establishment.

Permission for Sale of Certain Merchandise: It may outline specific permissions or restrictions related to the sale of certain types of merchandise.

Maintenance of Proper Records: The certificate may require the maintenance of accurate records related to business operations.

It is crucial for the Shops and Establishment document to be prominently displayed in the retail store and readily available for inspection by municipal officials during surprise visits to ensure compliance with the specified regulations and standards.

#5 Professional Tax Compliance 2026-27

Professional tax is a state-level tax imposed on the income earned by individuals employed in India. Employers are also responsible for deducting and remitting professional tax on behalf of their employees. Retailers, like supermarkets, boutique stores, gift stores, fashion retailers, etc. who employ people on a salary have to pay a fixed amount to the municipal department per employee. The salary should cross a certain threshold for professional tax liability.

For example, in Gujarat PT is deducted at INR 200 per employee whose salary is above INR 12000. (source) Make sure your retail establishment is compliant with PT rules and pay all dues before the month ends in March to avoid any penalties. Retailers also need to file PT returns (both monthly and annual) to avoid action by authorities.

Professional tax compliance also involves adherence to the specific rules and regulations laid down by the respective state governments regarding professional tax, including exemptions, deductions, and penalties for non-compliance. Maintaining accurate records related to professional tax deductions, payments, and filings is essential to demonstrate compliance during audits or inspections by the tax authorities.

#6 E-commerce Compliance

For e-retailers, TDS liability may arise in certain cases such as payments made to vendors or service providers for advertising or marketing services. E-retailers need to understand the thresholds and rates at which TDS is applicable and ensure that they deduct and remit the correct amount to avoid any penalties or legal issues.

Critical Aspects of E-commerce Compliance:

Tax Collected at Source (TCS)
E-commerce operators must collect TCS on any substances manufactured through their structures.

GST or goods and service taxes
Retailers selling online products have to follow GST regulations for generating invoices, serialization, and remittance.

Legal and regulatory standards adherence
Retailers need to ensure they follow protocols, and legal statutes and laws governing consumer protection

Transaction validation
The accuracy of online transaction details must be verified for validating collected data at the source and GST filings.

For more details on TDS applicability on e-commerce retailers (e-tailers) read here.

# 7 Environmental and Municipal Regulations

Retail operations generate a significant amount of waste, including packaging materials, expired products, and food waste. Retailers need to have proper waste management systems in place to minimize their environmental impact and comply with hazardous waste management regulations in India. This may involve implementing recycling programs, properly disposing of hazardous materials, and reducing overall waste generation.

Let’s understand how retailers can comply with environmental and municipal regulatory frameworks

Waste management

Separate recyclable, organic, and hazardous material waste into various categories

Big chain retailers like supermarkets can collaborate with various waste management organizations for the proper disposal and recycling of waste.

Implement waste reduction strategies that include minimal packaging and promoting the reuse of shopping bags.

Pollution control

Focus on curing energy consumption and reducing carbon dioxide emissions by adopting energy-efficient lighting and appliances.

Implement strategies such as utilizing fuel, efficient vehicles, and optimizing delivery routes

Ensure proper storage and handling of dangerous goods, chemicals, and substances for contamination prevention

 Compliance with local bodies

Get a license for retail operations, permits, and signage approvals.

Follow local bodies’ regulations and signage specifications of retail establishments.

To mitigate disturbances in surroundings, one must confirm adherence to local ordinances.

By properly managing waste, controlling pollution, and adhering to local bylaws, retailers can not only meet their legal obligations but also contribute to a healthier environment and a more sustainable community.

How retailers can ensure environmental and local laws compliance?

Conduct routine audits to assess compliance with environmental and municipal guidelines.

Identify areas for improvement and implement corrective actions to address potential non-compliance issues.

Educate staff on the importance of quality environmental practices and compliance

Promote a tradition of environmental responsibility in the organization by encouraging employees to participate in sustainability tasks.

Contact local governments, online companies, and environmental groups to stay informed about regulatory changes and best practices.

Participate in community cleanups and sustainability efforts to demonstrate your commitment to environmental protection.

#8 Record-keeping and Audit Compliance

Audits are conducted to review and assess a retailer’s financial records and processes to ensure compliance with regulations and standards. Compliance with audit requirements is essential for retailers to demonstrate their commitment to financial transparency and regulatory adherence.

Record-keeping is the most crucial aspect for retailers to ensure annual audit compliance. Retailers must establish and maintain effective record-keeping practices to ensure accurate and complete financial information.

This includes keeping detailed records of:

To comply with audit requirements, retailers must keep records in a systematic and organized manner, using standardized accounting principles, and retail management software that keeps a centralized database of all the above-mentioned types of records. Retailers should also have proper internal controls in place to safeguard their financial records and prevent any unauthorized access or tampering.

Critical aspects of Record-maintaining and Audit Compliance:

Recordkeeping procedures
Set up standard procedures for documentation of financial transactions, data access, cover validation, and storage. For recordkeeping tasks, assign specific roles and responsibilities to a particular person who is accountable and able to maintain consistency.

Maintain detailed financial records
Regularly record financial transactions using accounting software with comprehensive details of each transaction, amounts, and their relevant description to support high-quality documentation and maintenance criteria.

Adhere to retention requirements
Gain knowledge about tax returns, how to prepare invoices and financial statements, and ensure that records are retained for a specific duration and stored securely or disposed of when no longer required.

Organize records effectively
Implement a systematic filing system to organize information and classify records by type, date, or department. Use cloud storage solutions or physical filing shelves to collect statistics and facilitate near-term retrieval.

Conducting internal audits
Review and perform internal audits of financial facts regularly to identify errors, deviations, or anomalies. Document the audit findings and implement corrective actions to resolve identified issues promptly.

Continuous Improvement
Continuously evaluate and improve documentation processes based on audit findings, remarks, and modifications in regulatory requirements. Provide education and assets to employees to improve their file-retaining practices.

Other Compliances (For Retailers Registered as Private Limited Companies)

A. Annual General Meeting

An AGM is a yearly accumulating where shareholders speak, vote, and engage with corporation topics. It is essential to protect transparency, shareholder participation, and desirable governance.

Private limited retailers must call at least one annual General meeting before September 30th of the end of every financial year as per the Indian Companies Act 2013.

Purpose: The AGM is a forum for shareholders to discuss employer issues, vote on critical issues, and engage with authority.

Activities: Engage in discussion of corporate affairs, participate in voting in director elections, and open FAQ sessions.

Procedure: Notification before 21 days should be sent to shareholders. If companies come up with any amendment, the relevant documentation or supplementary material should be provided with the manual.

Compliance: The annual general meeting requirement is essential to maintain stakeholder accountability and foster corporate governance practices.

B. ESI/EPF Compliance

Employee Provident Fund (EPF) and Employee State Insurance (ESI) compliance are crucial for retailers. Both EPF and ESI compliance are essential to protect employees’ interests and ensure their well-being. Retailers must adhere to these compliance requirements to avoid legal issues and provide a safe and secure work environment for their employees.

EPF is a government-mandated scheme that ensures employees’ financial security by creating a retirement fund. It requires employers to contribute a certain percentage of their employee’s salary to the EPF account.

ESI provides medical and health benefits to employees in case of illness, injury, or maternity.

Contributions: Both employers and employees help pay for hospital expenses and will provide monetary benefits during illness or loss.

Compliance: Mandatory: Employers with minimum workforce diversity must comply with EPF and ESI rules.

C. Registrar of Companies (RoC) Compliance

As a retailer with Private Limited Company status, it is crucial to ensure compliance with the Registrar of Companies (RoC). One of the key requirements is to file annual forms mandated by the Ministry of Corporate Affairs (MCA), including Form AOC-4 and Form MGT-7, with the RoC.

Form AOC-4 pertains to the submission of financial statements, providing a comprehensive overview of the company’s financial performance during the year. This document is essential for stakeholders, investors, and regulatory authorities to assess the financial health of the company.

Form MGT-7 is the Annual Return that includes details such as the company’s registered office address, directors’ details, shareholding pattern, and other vital information.

ROC updates: You should report to the registrar of companies if any updates in your business operations include hiring new personal adjustments in capital, distribution, or any other facilities that you have provided

D. Insurance Renewal

By staying compliant with insurance renewals, retailers can have peace of mind knowing that their business is safeguarded against potential financial liabilities.

Coverage Types: Liability Insurance, Employee Health Insurance, Property Insurance

Policy Assessment: The evolution of existing insurance policies is the best way to confirm if they align with your current requirements or not.

Renewal Process: Renew your policy if you are completely satisfied with your current policy before it expires and also renew policies mandated by law.

E. Statutory Compliance

Retailers must also comply with industry-specific regulations and licenses. It is important for retailers to regularly review their compliance status and take necessary steps to renew or obtain the required licenses and permits. For example, retailers in the food and beverage industry must adhere to the regulations set by the Food Safety and Standards Authority of India (FSSAI).

Importance of Annual Compliance for Retailers

Annual compliance holds significant importance for retailers as it ensures legal and financial adherence, thereby contributing to the smooth functioning and reputation of the business. By prioritizing annual compliance, retailers can maintain a strong foundation for sustainable growth and success in the competitive market.

Here are the key points to consider:

2. List of Documents and Government Formalities Required

Business Registration

To kickstart your supermarket venture, you will need to obtain a business registration. You can register your business entity as a sole proprietorship, partnership, one-person company, limited liability partnership, or private limited company. This formal registration gives your business legal recognition which is mandatory for such a business, and instills confidence in customers and stakeholders.

Licenses

Securing a Shop and Establishment License is essential for protecting the rights and interests of your supermarket’s workforce. This license regulates terms and working conditions, ensuring a safe and fair environment for employees. Obtaining this license is a legal mandate for any retail establishment in India.

Shop Act License for regulating work conditions and employee terms.

If your supermarket’s aggregate business turnover exceeds Rs 40 lakhs (or Rs 20 lakhs in special states), registering under GST is mandatory. The amount of professional tax depends on the rules set by the respective state governments. Some states do not mandate PT registration. It is necessary to comply with the filing of returns and make the payment of professional tax on a monthly or annual basis, depending on its applicability.

Documentation Requirements:

Various documents are necessary to fulfill the legal prerequisites for opening a supermarket.

It includes all the items stored, packaged, or moved for selling in a typical business operation. Inventory measurement is typically done in units specific to that particular stock. Inventory plays a crucial role in supply chain management and serves as an asset that can be converted into profits through liquidity.

Examples of inventory can be found in various industries. In a supermarket, inventory includes items like cleaning supplies are inventory. In a footwear store sandals are inventory, for a gift shop, photo frames for sale are inventory and for a stationery store pencil boxes, notebooks, and staplers are the inventory.

What is Inventory Management?

Inventory management, also known as inventory control, are steps, tasks, decisions, and procedures involved in handling stocks, inventory, and the movement of goods within a business. The key objectives of inventory management include maintaining well-organized warehouses, ensuring accurate inventory levels, and tracking logistics efficiently.

Since inventory ties up a significant amount of cash and resources for a business, effective management is not only a wise decision but also essential for business operations.

Inventory management aims to increase productivity and customer satisfaction, minimize working capital issues, and optimize the utilization of all stock resources. It serves as the foundation for the entire value chain of products, such as procurement, warehousing sales, or delivery.

Examples of retail inventory management:

Determining the optimal reorder point for each retail product

Managing expiry dates of products

Avoiding overstock or stockouts

Importance of Inventory Management for Retailers

It enables retailers to meet unexpected fluctuations in product demand. By utilizing inventory management techniques and calculations, retailers can ensure that an appropriate amount of inventory is always available.

It helps prevent unforeseen disruptions in retail transactions.

It addresses the mismatch between demand and supply.

Inventory management prevents the interruption of business.

Effective inventory management prevents delays in services

Streamlining inventory management results in reduced work hours or backlogs.

Types of Inventory Retailers Have to Manage

In the retail industry, managing various types of inventory is crucial for smooth operations and customer satisfaction. Here are the different types of inventory retailers have to manage:

Buffer Inventory – Buffer inventory, or safety stock, is essential for retailers to manage uncertain demand or supply situations. Retailers must maintain extra inventory to prevent stock-outs due to sudden spurts in demand during seasons, festivities, or holiday-induced demand surge.

Finished Goods – Finished goods in a retail context refer to products that are packaged, and ready for sale. Retailers either directly buy finished goods from wholesalers or create them with their in-house manufacturing. For example, a clothing retailer will have finished goods such as shirts, dresses, and accessories ready for display and sale.

Work-In-Process Inventory – Work-in-process inventory for retailers includes products that are in the process of customization for particular preferences by customers. For example, items undergoing alterations (clothing retailers) or items getting added accessories (automobile retailers).

Transit Inventory – Transit inventory, (pipeline inventory), consists of products in transit (delivery) from suppliers to retail stores. For instance, a consumer electronics retailer will have inventory in transit as products are shipped from the manufacturer to the retail outlets/warehouses.

Buffer Inventory – Buffer inventory, or safety stock, is essential for retailers to manage uncertain demand or supply situations. Retailers must maintain extra inventory to prevent stock-outs due to sudden spurts in demand during seasons, festivities, or holiday-induced demand surges.

Anticipation Inventory – Retailers accumulate anticipation inventory to meet the increased demand for specific products during anticipated events or seasons. For example, a grocery retailer may stock up on extra inventory of barbecue supplies in anticipation of the summer season.

MRO Inventory – MRO (maintenance, repair, and operating supplies) inventory includes items essential for the retail operation but not meant for sale. Retailers may stock MRO inventory such as cleaning supplies, maintenance tools, and employee essentials like uniforms or protective gear.

Raw Materials – Retailers have to procure and store raw materials required for their in-house production of some items or customization needs before they sell those products. For instance, jewelry retailers have to store precious metals and gemstones as raw materials for creating finished jewelry ornaments.

Challenges Faced by Retailers in Inventory Management

1. Overstocking

Wrong judgment, over-enthusiasm, or poor demand forecasting may lead retailers to overstock items. It causes unnecessary capital tie-ups or warehouse costs.

2. Understocking

The same reasons that cause overstocking result in understocking too. Like poor demand anticipation, lower enthusiasm, wrong judgment about a stock etc.

3. Improper Inventory Tracking

Sometimes, retailers may not count the warehouse inventory properly, or miss accounting for the inventory in transit or return.

4. Peak season mismanagement

Fast inventory movement from retail (sold goods) and warehouse (incoming or outgoing goods) during high-demand seasons may cause mayhem in inventory management.

5. Order Backlogs

Order backlogs from suppliers can cause inventory issues at retail stores. In such cases, retailers are not in a position to fulfill orders at their retail stores or on their online sites.

6. Inefficient Methods for Returns Management

Goods returned by customers are again part of the inventory. A complicated or inefficient return process without a retail inventory management system will lead to inventory chaos.

7. Technical Issues

Technical glitches in the POS system that retailers use in their retail store or their e-commerce store can cause issues if inventory is not updated in real time.

8. Manual Stock Audit Process

Without an automated stock verification and audit process, retailers may find it extremely difficult to conduct mandatory stock audits and verify their inventory.

9. Barcode and Label Generation

Retailers need a proper system and process for generating barcodes or labels for stock management. However, finding and deploying such a system is a challenge.

10. Inventory Expiry Management

Unsold expired goods are a direct loss to retailers. Also, if by mistake they sell expired goods, it can cause reputational or legal risks.

11. Inventory categorization

Organizing and categorizing multiple variants and SKUs in retail stores can be a challenge if done manually without a system to do so.

12. Retail Inventory Analytics

Retailers may struggle to generate key stock reports and inventory stats about their stock status.

Techniques of Inventory Management For Retailers

Inventory serves as a valuable financial asset for retail businesses. It plays a vital role in generating consistent revenue and serves as the foundation on which businesses flourish. The absence of efficient inventory management can expose businesses to the risk of losing potential sales and profits.

Below are the top techniques of inventory management that retailers can use to keep their inventory safe, secure and at optimum levels:

#1 Economic order quantity (EOQ)

Economic order quantity (EOQ) is a widely accepted method in the field of inventory management for estimating the quantity of stock that should be ordered. It is a formula-based equation that calculates the optimal order quantity based on certain inputs.

The inputs include annual demand in units, order costs, and holding costs per year. By inputting these variables into online calculators, EOQ can be easily calculated.

#2 Just-in-Time

The Just-in-Time technique involves purchasing stocks only a few days before they are needed. This approach helps retailers minimize holding costs, prevent dead stocks, and avoid tying up excessive capital. However, businesses need to have reliable suppliers who can deliver products on short notice to successfully implement this technique.

#3 ABC Analysis

ABC Analysis is a crucial tool for maximizing profitability by prioritizing more valuable stocks over less valuable ones. You can categorize your stocks into three groups: A, representing the most valuable stocks; B, which falls between the most and least valuable; and C, denoting the least valuable stocks.

This analysis enables you to focus your time and efforts on stocks that generate higher revenue and profitability. It is essential to ensure that the most valuable stocks never run out of stock.

#4 FIFO (First-in First-out)

FIFO (First-in First-out) is a technique that involves selling the oldest products first. By prioritizing the products that entered the warehouse first, retailers can maintain a stock of newer products while disposing of older ones.

This method is especially beneficial for perishable goods and fashion-related items such as dairy products and trendy fashion accessories.

#5 LIFO (Last-in First Out)

The Last-in First-out (LIFO) method proves to be highly effective in situations where you have ordered a product and it happens to arrive last but at a higher cost compared to previous ones. This scenario often occurs when certain products experience sudden price hikes.

In such cases, it is wise to prioritize selling the most recently received product first, as it is the one for which you paid a higher price. You can still retain the cheaper products, making it easier to sell them within the same category.

#5 Reorder Point Tracking

The replenishment point formula serves as the criterion that many companies utilize to determine when it is time to restock their inventory. This formula acts as a trigger for reordering stock when the inventory reaches its lowest point. To accurately calculate this point, you should regularly conduct audits of its stock.

Replenishment Point Formula= (Average daily usage rate x Lead time) + Safety stock

#6 Batch Tracking

You may have noticed the presence of batch codes or codes on various products. Batch codes are commonly found on consumer goods. These codes contain valuable information about the product, such as the manufacturing facility, distribution channel, and modes of shipment.

This information proves useful when you need to recall products or identify the source of defective items.

#7 Demand Forecasting

There are two types of demand metrics: independent demand and dependent demand.

Independent demand refers to the demand for inventory that is not influenced by any other variable. On the other hand, dependent demand inventory relies on external factors and variables for its demand. For instance, the demand for accessories for a specific fashion store depends on the number of pieces sold for that particular fashion accessory.

Lean Inventory Management and its Processes

Efficient inventory management involves reducing the waste of time, effort, and materials while enhancing productivity and profitability. Retailers can use the below four lean inventory management techniques to reduce the wastage of employee labor, time, and effort. These methods also save inventory from theft, expiry, spoilage, and slow movement between the warehouse and the retail store.

This approach employs various techniques such as:

1. Kaizen: Continuous improvement (Kaizen inventory management) by reducing waste

2. The Six Sigma methodology: (DMAIC – Define, Measure, Analyze, Improve, Control),

3. Japanese 5S (Sort, Order, Shine, Standardize, Sustain),

4. TIMWOOD (Transport, Inventory, Motion, Waiting, Over-processing, Overproduction, Defect)

How can retailers effectively handle inventory across various locations, stores, and warehouses?

When dealing with inventory management across multiple locations, retail stores, and warehouses, it is crucial to ensure synchronization and real-time updates of stock levels at all sites. Implementing remote data tracking enables staff members to communicate efficiently and collaborate to establish a seamless inventory management system.

To effectively manage your multi-location retail business, there are several strategies you can employ:

Implement a return management system that allows items sold from one retail store to be returned to the nearest retail store location. This ensures efficient handling of returns.

Consider transitioning to a cloud-based inventory management system. This technology enables easy access to your inventory information from anywhere, improving overall efficiency and flexibility.

Arrange products strategically, placing those that sell quickly and in bulk quantities near the shipping point of the warehouse for easy access. Optimize your warehouse layout to save time and space during storage, packing, and shipping processes.

Explore strategies like ‘cross-docking’ and ‘wave picking’ for retail warehouses to further optimize space utilization. These methods involve directly transferring products from incoming shipments to outgoing ones, reducing the need for storage space.

Carefully plan the geographical locations of your retail store and warehouses using a lean inventory management system. This approach minimizes resource wastage. It will also help you in reducing overall warehouse space requirements and also reduce transportation costs.

Utilize inventory management software that centralizes data, and ensures real-time updates of items sold on any POS at any location. This integration ensures efficient coordination between your warehouses and retail stores.

By implementing inventory management software, you can improve your supply chain and effectively oversee and monitor your entire inventory across multiple locations. This will allow you to maintain precise records of stock quantities and keep track of real-time stock fluctuations.

Utilize cutting-edge technologies like RFID, GPS, and barcode tagging to efficiently monitor and track the movement of stock between various stores/warehouses.

Managing Inventory With Retail Inventory Management Software

Many businesses hesitate to invest in inventory software because they either don’t understand its value or have misconceptions about it. Some businesses choose not to invest in inventory management software because they see it as an unnecessary expense and a financial burden. Others are reluctant to switch from a manual system to an automated one due to their conservative approach. Unfortunately, some businesses fail to recognize the benefits of investing in technology.

Benefits of Investing in an Inventory Management System

Enhances inventory management capabilities

Improves supplier and customer relationships

Saves costs on redundant, dead, or excessive stocks

Increases productivity and decreases waste of time

Automates processes to save manual efforts

Increases speed and accuracy

Reduces warehouse storage costs

Key Features of Inventory Management Software that Retailers Must Consider Before Investing

Real-time inventory synchronization

This functionality ensures that all inventory transactions are instantly updated. Whenever a customer buys a product from your retail store or places an order on your retail store website, the software makes the changes in the stock count in real time. This system effectively prevents duplicate orders for the same product.

Warehouse management

Utilizing warehouse management features can effectively minimize inventory holding expenses. These features include implementing automated stock picking based on the FIFO principle and generating comprehensive warehouse layout plans, and inventory reports. This system allows retailers to manage multiple warehouses.

This software integrates with other popular e-commerce portals like Bigcommerce, Shopify, Amazon FBA, and other cloud-based or web-based services.

Security and Backup

A crucial aspect of inventory management software is ensuring a secure environment for all transactions. Also, it should have the capability to create backups of all data in protected cloud databases that can be accessed remotely.

Scalability

As your business expands and your customer base grows, the software should have the ability to surpass its limitations and scale accordingly.

Accessibility on all devices

To meet the demands of this fast-paced environment, retailers have to access their business on multiple devices- Desktops, laptops, tablets, or even mobile phones to ensure a seamless experience for their customers. Therefore, inventory management software should be compatible with all devices and offer a mobile-friendly version.

Managing Orders

Managing purchase order forms, processing returns, handling payments, generating invoices, editing orders, setting prices, and managing back orders.

Identifying Products and Categorizing Products

Using barcode scanning, RFID, and other wireless methods to identify products. Categorizing products involves the software creating multiple labels to organize them.

Managing Multiple Locations

This feature allows for real-time updates on inventory and synchronizes information from multiple warehouses.

Grouping Inventory

Easily locate and manage inventory by categorizing and classifying it. This feature helps identify similar items and group them together.

Forecasting Demand

The software should have the capability to forecast demand for each product based on historical data, current business trends, and future prospects.

Supplier Management

Enables users to effectively manage suppliers, providing a list of all suppliers in one place. It records transactions with specific suppliers and tracks the closest and most cost-effective options for inventory restocking.

Analytics and Reports

The software should provide a detailed analysis of the inventory metrics and present other retail analytics reports about all important aspects of the inventory.

User-friendly

The software should prioritize ease of use, with an intuitive interface that allows for effortless navigation. It should not burden users with unnecessary complexity or cause frustration.

Dependable customer support

Given that inventory management software has multiple features, users may need to seek technical support from the vendors. The software provider must provide reliable and prompt customer support to address any issues that may arise.

Wrapping Up

Making even small efforts to eliminate obstacles in the inventory management system can result in significant cost savings. Implementing best practices such as drop shipping, utilizing multiple warehouses, wave picking, integrating with third-party systems, investing in cloud-based inventory management software, establishing return management SOPs, and utilizing inventory forecasting can enable your retail business to grow in a positive direction.

Are you a retailer who is currently using retail software and wants to migrate to better and more efficient software? Or are you someone who is not using any retail software and wants to deploy one before the financial year 2026-27 ends?

This article serves as valuable information for both types of retailers. Also, We will explore India’s best retail system.

Situation 1: I already have retail store software but I am looking to migrate to a better, smarter, and more efficient retail system.

If you are already using retail software that may also have features for billing, POS, stock management, or e-commerce activities. Have you ever thought of replacing it or upgrading to a modern retail system? While you may have good retail software that is making your life easier and you are full of praise for the features offered, there are many other features and benefits that you may be missing. Modern times require highly upgraded systems and therefore, you must always review your legacy retail systems and should not hesitate to replace them before the end of this financial year if the revaluation doesn’t meet modern necessities.

Situation 2: I am not using any retail software currently but am willing to scale my retail business by deploying the best retail software for my store.

If you are a retailer who is currently not using any POS system, then you are missing out on the most efficient way to run and scale your retail business. It’s time you consider deploying the top retail POS for your business and see a tremendous change in your profitability in the upcoming financial year.

VasyERP suited for every situation

Situation 1: Already Have Retail Store Software

Signs it’s Time to Switch Your Retail Management System

We know you know the best how to run your retail business. Therefore, we trust you to make an informed decision to reconsider your current retail software or retail POS based on the data, insights, and facts that we are going to present below.

Usability Issues

The best POS software solutions for retail businesses are easy to understand and use. If it’s too complex or time-consuming to run transactions, or reports, consider switching.

Scalability Limitations

If your current system hinders growth or expansion, it’s time for a change. For example, if the system cannot accommodate more branches, added billing counters, or more customers (or have threshold limits for inventory that can be managed) then it’s time to get rid of such bottlenecks to growth.

Service Disruption

An unreliable system that causes server issues, and frequent downtimes, affecting transactions and customer service (and their satisfaction) indicates the need for a switch.

Lack of Integration Flexibility

If your current system lacks the flexibility to add third-party integrations like e-commerce (Shopify, Woocommerce, etc.), payment integrations (Razorpay, Pine Labs), or accounting (Tally), it is time to look for a system that can integrate seamlessly with other tools and add-ons.

Cost-Value Mismatch

Cost-value analysis can be tricky. However, it is a crucial factor to reconsider as you may be paying more for legacy (older and traditional) systems while newer and modern POS may not only be better but more cost-effective. If your current POS is too expensive for its value, consider finding a more affordable and useful system within your budget.

Insufficient Data and Insights

If your current system cannot tell you about your best/least selling products, and top customers, or generate financial, inventory, or sales reports with deep insights that enable you to improve your business, then it is not worth continuing. Your competitor who has better reports and analytics can easily beat you and therefore consider switching to a retail POS system with advanced reporting modules.

Lack of Omnichannel Integration

The inability to connect your physical retail store with your online stores for synced inventory and unified customer experience is a red flag. If you can only do accounting, transactions, and stock updates about in-store items and have to keep a separate POS for online store sales, then you are not enjoying the benefits of a unified business experience.

Slow Checkout Process

We queried many retail store buyers and most of them voiced concerns about how retail stores handle their checkouts and billing counters. Even stores with luxurious in-store buying experiences often fail when handling crowds at billing counters.

If annoying lengthy checkout due to slow processes by your POS leads to customer dissatisfaction, change it now. Consider systems that enable saving and retrieving carts for faster checkouts, mobile billing options, advanced payment gateways, support for payment wallets, UPI, mPOS, and multiple counter support.

Lack of mPOS

While you may be satisfied with the desktop version, customer service flexibility is achieved when you or your staff can bill customers or provide exact stock information from anywhere in the store. Consider switching to software that has mobile POS (mPOS) that will help in busting long billing queues or eliminate the need to go to the desktop to answer stock availability queries by customers.

Manual vs Automated Inventory Reconciliation

If your POS system cannot update inventory quantities instantly with every sale (in-store or online) and also returns/exchanges, you must be wasting a lot of time manually updating inventory every time with each sale. Migrate to a system that has automated inventory reconciliation features that update inventory in real-time after every sale or return.

High maintenance costs for legacy systems

Legacy POS systems with a lot of hardware requirements have high repair, maintenance, and update costs. This is not the case with cloud-based POS systems.

Lack of customer loyalty features

Discount management, loyalty points management, feedback and review management, and membership management are some of the features that help retailers keep their customers happy and loyal to them. If any of these critically important features are missing in your POS, you have to seriously consider making a shift to a more customer-centric POS software.

Remote Access

The inability to access the dashboard, reports, and analytics remotely means that you always have to be on your seat at the retail store to see what’s happening in your business. Consider a modern POS system for convenient remote access to retail business data from anywhere. This way you can access your business even when you are on vacation and your staff is handling the store.

Older Data Security Protocols

Modern businesses are always on the deadly watch of hackers and cybercriminals. In the absence of trustworthy data security measures, anti-fraud protocols, and encryptions, your retail data is always at risk.

Steps for Transitioning Your Retail System

By following the below steps, you can successfully switch your retail system while minimizing disruptions to your business operations.

Step 1: Identify specific pain points, challenges, and desired features.

Step 2: Evaluate support for implementation, training needs, and help center

Step 3: Schedule a demo for understanding features, USPs, and navigation intuitiveness.

Step 4: Check the pricing, reviews, and reputation of the service provider.

Step 5: Assess future needs like scalability, upgrade options, updates, etc.

Step 6: Understand the migration process and how the new provider can help with that for a smooth transition.

Also, consider the benefits of Cloud-based retail POS systems over legacy systems:

As the financial year end of 2026-27 approaches, it is crucial for retailers to ensure that they have the best retail system in place. With technological advancements and changing consumer demands, having an efficient and effective retail system is essential for staying competitive in the market.

Here are some steps to help businesses get the best retail system before the financial year ends.

Analyze its performance and reliability with a free demo

As the festive season approaches in India, local retail outlets, particularly supermarkets, convenience stores, grocery stores, jewelry stores, boutiques, fashion stores, and electronic stores, become important in addressing the surge in consumer demand. It is a common scenario to see a huge increase in customer visits to these stores. Product demand sees a significant spike during the festive season. On one hand, this allows retailers to maximize their annual profits or even cover losses from previous slow seasons while on the other hand, it is also a challenging time for retailers to manage such customer crowds and other store activities simultaneously.

Now, three things are crucial for retailers to benefit maximum and capitalize on the festive season-led surged demand. Firstly, retailers must have sufficient stock (rather optimal levels to avoid spoilage). Secondly, they must have a system in place to manage extra billing counters, and lastly, they must have a process that lets them manage the warehouse, CRM, returns and refunds, and online store too.

Fortunately, technological tools can play a significant role in preparing retailers for the festive season. Retailers who deploy POS and inventory management systems can easily manage the festive/peak season.

This article will detail how retailers can ease their work during festive seasons and deploy retail solutions for preparations for the festivities.

Managing Key Functions and Activities During Festive Seasons’ Peak Demand:

The festive season in India, such as Diwali, Independence Day, Rakshabandhan, Janmashtami, or any festival, is an important business time for retailers. Major retailers that see the highest footfalls from customers are supermarkets, grocery stores, fashion retailers, footwear stores, electronic stores, and jewelry stores. It’s a time when these retailer have to be on their toes, putting in extra effort, and handling more than usual days. However, there are certain steps that retailers can take to unburden themselves from other store activities and focus on the customer experience.

To make the most of this opportunity, retailers need to carefully manage various aspects of their operations:

Inventory Management

During the festive season, retailers must ensure they have sufficient stock to meet the increased demand and can manage inventory flawlessly.

Categorization: Categorize products based on their popularity, shelf life, and demand patterns. Focus on stocking more of the popular and fast-selling items.

Stock Forecasting: Retailers should analyze past sales data and trends to forecast demand accurately. Retail analytics helps in ordering the right quantity of products.

Perishable Goods: For perishable items like sweets and fresh produce, monitor shelf life closely and implement first-in, first-out (FIFO) practices to reduce spoilage

Warehouse Management

Are you a retailer or wholesaler looking to create fully-compliant GST invoices and bills? Then, this guide is for you! The guide details in easy steps how businesses, shop owners, and even retail chains can create GST invoices and bills in easy steps. It is not just a mere requirement to issue a GST-compliant invoice—this document also serves as indispensable evidence for tax purposes, in addition to enabling businesses to claim Input Tax Credit (ITC).

This article walks you through the comprehensive approach of creating fully compliant GST invoices and GST bills for retail stores and other businesses.

In this article you will learn:

Why GST-compliant invoices are required?

Who Should Create GST-compliant Invoices?

Key Things to Include in a GST-compliant Invoice

How to Create a GST-compliant Invoice: Steps by Step Process

GST-compliant billing software

Why are Fully-compliant GST invoices and bills Required?

If you are reading this article, it means you have already registered your business or retail shop under GST. You have a GST number and now you want to create GST bills.

So, why exactly do you need a GST-compliant invoice?

A legal requirement under the GST framework (GST Section 31 of CGST Act 2017) a GST-compliant invoice, serves as proof of the supply of goods or services. Businesses must also collect GST-compliant invoices from their suppliers for hassle-free claims for (Input Tax Credit) ITC.

Exceeding the below revenue limits will require GST registration:

The reasons why GST-compliant Invoice is required:

1. Legal Obligation: Under the CGST Act 2017, GST-registered entities (shops, service businesses, companies, retailers, MSMEs) are obligated by law to provide GST-compliant invoices regarding goods or services sold. Failure attracts penalties and legal scrutiny from GST officers.

In short, if you are GST-registered, you need to bill your customers by issuing GST-compliant invoices. This helps ensure that your billing software complies with all requirements set out under the Act for issuing proper sales documents.

2. Input Tax Credit: Only valid invoices entitle businesses to claim ITC on taxes paid on purchases related to doing business. It has been found that wrong invoicing could lead to a substantial loss in tax savings.

3. Accurate Tax Filing: Compliant invoices result in an accurate reflection in the financial statements made during the filing of returns under CGST thereby reducing any cases involving penalties arising from audits.

4. Financial Transparency: Credibility is built by GST-compliant invoices which indicates that the business adheres to legal standards and accurately reflects transactions.

Who Should Generate a GST-Compliant Invoice?

You’ve learned why generating invoices complying with GST is important, but is your business the one that needs to? Any company, retailer, service business, or MSME registered under the GST Act must issue GST-compliant invoices. Both retailers and service providers can benefit from billing software for retail with GST invoicing capability.

The businesses obligated for a GST-compliant invoice are: (if crossing threshold limits and if registered for GST).

Retailers

Distributors

MSMEs

Service Providers

Wholesalers

Key Things to Include in a GST-compliant Invoice

To create a tax-compliant invoice, certain elements have to be incorporated. Below are the primary ones you need to cover:

1. GST Identification Numbers (GSTIN): For both the supplier and recipient, their respective GSTINs should be indicated on the invoice. You will need to incorporate these into your GST-compliant billing software to create valid GST invoices.

Note: If the recipient (in the retail store case the customer) is not registered under GST, you have to put your GST number only.

2. Names and Addresses: The legal names and addresses of both supplier and recipient must be mentioned clearly. (Address is compulsory if the invoice is of more than 50K Indian rupees.

3. Unique Invoice Number and Date: Each invoice should be assigned a unique number for tracking and auditing purposes, while the date it was issued must also be included. For instance, if you start your first invoice as #001, the second invoice will be #002, the third will be #003, and so on.

4. Description of Goods/Services: The supplied good(s) or rendered service(s) should be listed in detail along with the specification or weight. For example Parle G 500 Gm, Nivea Soap 150 Gm, Orient Fan Wendy 1200 mm 3 Blades, etc. If it’s a service, write details like Accounting Preparation Charges for July, Electric Fitting Services, Waterproofing service for the basement, etc.

5. HSN/SAC Codes: HSN or SAC codes belonging to the goods or services being classified are required. Each business and product/services have distinct HSN, and SAC codes. Goods have HSN codes while services have SAC codes. Find the relevant HSN/SAC code for your products and services on the GST website link.

See below how we searched HSN code for stationery items and got the results on the GST website.

6. Quantity: This includes details about the quantity of goods and the extent of services rendered. For instance, if you are selling three units of a Pencil Box or 5 units of a particular Moisturizer, mention them in the Quantity column of the invoice. If it is a weighted category product, then in quantity mention the weight–5Kg Wheat Flour. If you provide content writing services, you will mention the quantity in number of words or if you provide video services, you can mention the quantity in number of videos supplied. Quantity for goods that are sold in meters and centimeters can also be mentioned accordingly.

7. Applicable GST Rates: The total tax amount charged has to include CGST, SGST/UTGST, and IGST rates declared separately along with them. The CGST act clearly and explicitly mentions GST rates for each type of product/service.

Find the GST rates applicable for your business categories (products/services) on the website of the Central Board of Indirect Taxes and Customs.

For instance, if you sell pre-packaged honey within the state, the applicable GST rates are 2.5% SGST and 2.5% CGST. (total 5%). If you sell the same packaged honey out of the state then SGST/CGST is replaced by IGST. In this case, IGST will be 5%.

8. Place of Supply and its code: The place where the goods or services are supplied is significant when it comes to determining the type of GST applicable. Mention the state of supply along with the code of the state. (i.e.: Gujarat (code 24), Rajasthan (Code 08), Mizoram (Code 15), etc.). For exports, the place of supply will be the respective country’s name (the UK, Australia, the USA, etc.)

9. Invoice Total and GST Total: Once all items are mentioned on the invoice separately, at the end there should be a ‘total’. The Total is divided into two categories: sale total and GST total and then the final total is mentioned.

10. Round Off: While not mandatory, you can round off to get the nearest full digit. For example, a GST bill of INR 1200.15, can be rounded off to INR 1200 for convenience and ease of payment.

11. Original for Recipient: The original copy of the invoice will have the Original for recipient written on it. This copy is issued to the customer. A duplicate is retained by the supplier or seller. In case there is transport of Goods involved, a duplicate is issued to the transporter, and triplicated is retained by the seller/supplier.

12. Supplier Signature: The supplier’s signature, either physical or digital, is essential for authentication purposes.

Importance of Applicable GST Rates in a GST Invoice

It’s a key factor to include the applicable Goods and Services Tax (GST) rates in GST-compliant invoices. They are the CGST, SGST/UTGST, and IGST. These taxes are for different types of transactions.

1. Central Goods and Services Tax (CGST)

This tax is levied by the Central Government on intrastate transactions within a state where both the supplier as well as recipient are in the same state.

For example, should a manufacturer in Maharashtra sell goods valued at ₹10,000 to a retailer also in Maharashtra at a CGST rate of 9%, then CGST will be equal to ₹900 (i.e., (9% of 10,000 = 900)). The central government collects this tax.

2. State Goods and Services Tax (SGST)/ Union Territory Goods and Services Tax (UTGST)

On intrastate transactions (both parties are located in the same state), SGST imposed by state governments works hand-in-hand with CGST to share tax responsibility between state and central authorities.

The same transaction worth ₹10,000 in Maharashtra would attract an SGST charge of ₹900 assuming an SGST rate of 9%.

Note: Combining both CGST and SGST gives the total GST for that transaction equal to ₹1,800. UTGST applies similarly to SGSTA in Union Territories without legislative assembly.

3. Integrated Goods and Services Tax (IGST)

IGST comes into view in the case of interstate transactions between different states.

For example, if goods worth ₹10,000 were sold from Maharashtra into Gujarat at an IGTS rate of 18%, then GST will be equal to ₹1,800 (i.e. (18% of 10,000 = 1,800)). The IGST is collected by the central government and then distributed to the participating states.

Steps on How to Create a GST-compliant Invoice

Before you start to create a GST invoice, what will you require? GST-compliant billing software

If you are a retailer, like a grocery store owner, pet store owner, supermarket, gift shop, or stationery retailer, you have a continuous influx of customers. You cannot use outdated methods like manual bill books or Excel sheets for creating GST invoices. You need faster billing methods like GST invoicing software.

Creating a GST-compliant invoice is a structured process that can be simplified further by utilizing advanced billing software solutions like VasyERP.

Here’s a step-by-step process to help you get started:

1. Choose an Appropriate Invoice Format: Choose between various templates and formats from the specialized invoicing software.

2. Include Your Business Details: Your invoice should contain some important information, such as your business name and address, GSTIN number, and contact details.

3. Add Customer Details: Names of customers from whom the goods were purchased need to appear; they may include their addresses, GSTIN (if applicable), and contact details.

4. Specify Invoice Details: Including the unique invoice number and the date of issue enhances easier tracing of it if lost.

5. List Product/Service Details: In this regard, one has to provide detailed information about them including HSN/SAC codes, quantity sold rates charged per item, etc.

6. Apply the Appropriate GST Rates: This entails calculating appropriate CGST/SGST/IGST rates depending on the type of supply, aka nature of the transaction, and computing the total tax amount accordingly. Retail Billing software should apply correct CGST/SGST/IGST rates based on transaction type or nature.

7. Ensure Total Calculations Include Taxable Value and Taxes: At the end of this document, the total amount payable by the customer is in figures and words.

8. Provide Payment and Shipping Information: The modes, as well as terms of payment plus shipment particulars, should always be stated clearly at any moment when presenting invoices to customers for effective service delivery and to avoid delayed payments.

9. Save and Share the Invoice: Finally, save the invoice in a PDF format via SMS/Whatsapp/Email or print it out.

GST-Compliant POS Billing: For Retail Stores

If you have a GST-compliant POS set up then, invoicing becomes easier for you. You don’t have to input product descriptions or HSN/SAC codes, these are automatically added as you scan the products with a barcode scanner or mobile app (in the case of advanced POS like VasyERP).

Types of GST-Compliant Invoicing: Invoices, Bills, E-way Bills, and E-invoicing

Would you like more information about invoicing under GST? Check out some highlights below:

Invoices vs. Bills

An invoice as opposed to bills are more detailed payment requests that are used mostly for business-to-business transactions while bills are used for consumer purchases requiring immediate payments.

E-way Bills

When moving goods around, e-way bills must be produced and kept handy. They play a role in documenting movements as per rules governing transport concerning Goods and Services Tax (GST).

E-invoicing

Using GST invoicing software with an e-invoicing module will be required to adhere to e-invoicing rules and regulations. E-invoicing becomes a necessity if you run a large business where your revenue exceeds 5 crores per year. This includes generating digital invoices that meet the standards of the GST Network (GSTN), easing compliance issues, and ensuring the accuracy of records at all times.

Credit Notes

Suppliers can issue credit notes to amend tax invoices and reduce tax liability. Common reasons for issuing credit notes:

Sales returns (quality issues, service rejection, damaged goods)

Overcharging or overpayment

Post-sale discounts

Quantity discrepancies

Cancellation of pending payments

Similar situations

Important: All credit notes issued in a month must be reported in that month’s GSTR-1.

Can You Amend an Already Created Tax Invoice to Make It GST Complaint?
Did you ever need to make changes to an invoice after it’s been issued? Good news – you can modify an already issued invoice to be GST compliant! Here is how it works:

When to Revise?
If you have sent the invoice before getting the GST registration or if there are mistakes such as incorrect values or GST rates that you see later on, then it’s time for a revision.

How to Revise?
Within one month of receiving your certificate of GST registration, you will be required to issue another invoice. In this case, ensure that this new invoice makes reference to the original one and clearly highlights any changes made to it.

Sweet shops, restaurants, gift shops, cake shops, etc. need to first store raw materials like sugar, flour, eggs, milk, etc. Raw material management is a core inventory software feature that helps retailers procure and store optimal levels of raw materials, preventing both shortages and excess raw material inventory.

It involves real-time monitoring of raw material quantities, quality control, and demand forecasting. Effective raw material management reduces storage costs and minimizes raw material wastage due to spoilage.

#15 Label Generator

Label Generator in inventory management is a feature that easily creates custom labels. The feature supports several label formats and includes barcodes, QR codes, and other necessary product detail labels. Automating the label-generating process enhances accuracy, reduces manual errors in the labeling process, and also saves time. Label generator improves inventory tracking by maintaining consistency across labels.

MSMEs are a huge contributor to growth in the Indian economy. After agriculture, the MSME is the second largest employer in India. A contributor to over one-third of the Indian GDP. MSMEs have successfully transitioned from traditional to online businesses, reaching global and national audiences through omnichannel e-commerce platforms. Today, Indian MSME businesses are defying expectations by making significant developments and space in sectors traditionally dominated by established International brands.

But, how is this being made possible? Today MSMEs are more open to adopting new technologies and software applications to take their businesses to newer heights.

However, even amidst these positive developments, there is still a large number of MSMEs that face challenges like operational scalability, supply chain inefficiencies, high competition, regulatory scrutiny, and many more. These are mostly the MSMEs that still work without technological upgrades and have not implemented software solutions like cloud-based business applications. While MSMEs have a multitude of opportunities to thrive and succeed in a vibrant economy like India, it is possible only if they embrace technological upgrades and innovative software solutions.

This article evaluates how technology and advanced software applications can help MSMEs succeed in the digital era.

MSMEs in India: Definition and Key Statistics

Micro, Small, and Medium Enterprises (MSME) in India are entities involved in the manufacturing, production, and preservation of goods and commodities.

The classification of MSMEs is based on a composite criterion of investment and turnover.

The updated MSME criteria in 2024 are as follows:

The MSME sector in India contributes around 30% to the GDP, constitutes 48% of the exports, and provides livelihoods to more than 120 million people.

With 751.5 million internet users (smartphones in use), digital penetration in India has surged, making convenience a top priority for consumers.

India is the largest customer base of Meta-owned WhatsApp, Instagram, and Facebook. Social commerce platforms like Facebook and Instagram have revived the tradition of personalized service, allowing MSMEs to connect directly with customers and build trust.

The digital shopping revolution, accelerated by the pandemic, is driven by the determination of MSMEs and supported by e-commerce platforms and government initiatives like Digital India MSME Schemes.

Did You Know?

27th June: World MSME Day
Micro, Small, and Medium-sized Enterprises (MSME) Day is celebrated annually on June 27, as designated by the United Nations General Assembly. MSME Day serves as a reminder of the significant contributions of MSMEs to the global economy and their pivotal role in driving inclusive growth and shared prosperity.

Why MSMEs Need Technological Support? Benefits of Adopting Technology in MSMEs’Business Processes

Considering their importance in the economy, MSMEs are critical for any country’s sustainable and inclusive growth. However, many MSMEs fail to adopt the right technology at the right time risk and suffer a decline in market share and customer footfall. This highlights the imperative for MSMEs to adopt technology to enhance their competitiveness and ensure long-term viability.

In the modern consumer world, technology plays a crucial role in empowering Micro, Small & Medium Enterprises (MSMEs) to overcome traditional barriers and achieve long-term success.

Below are the benefits of adopting and implementing the right technology for MSMEs:

#1 Higher Competitive Strength

Competitiveness depends on how fast you can change to market demands than your competitors, how better you can service your customers than your competitors, and how fast you can time-to-market than your competitors. MSMEs can adapt more quickly to market shifts, customer needs, and industry trends by utilizing digital platforms.

For instance, a small online grocery store that employs data analytics to predict customer buying patterns and optimize inventory management can beat even large-scale grocery retailers.

Similarly, grocery businesses with multi-chain business model can deploy supply chain management systems to keep their stocking system centralized and more effective than their competitors. This way they can ensure their stores never go out of stock and house all products that their competitors stock.

#2 Increased Speed of Operation

The rate at which businesses can carry out their various activities and processes, the swiftness with which tasks are performed, decisions are made, and services are delivered is critical in the context of MSMEs. Speed of operations is crucial for maintaining competitiveness, meeting customer demands promptly, and quickly adapting to dynamic market conditions.

The speed of operations enables MSMEs to operate more efficiently and reduce time to market. deliver products and services to customers in a timelier manner.

For instance, cloud-based project management software enables better collaboration between employees, supervisors, and managers in a small manufacturing unit. This real-time communication and sharing of documents or workflow tasks can eliminate data siloes and improve the speed of operations.

#3 Effortless Scaling

MSMEs (Micro, Small, and Medium Enterprises) have the dream to scale their operations. After all, every business wants growth and envisions crossing the threshold limits and achieving more growth. MSMEs can benefit from software solutions to scale their operations.

For instance, process automation can automate repetitive tasks and accelerate business productivity. Data Analytics can help MSMEs gather and analyze data to identify the bottlenecks that are hampering growth and limiting their ability to scale, providing valuable insights for informed decision-making and improved operational efficiency.

CRM software can help MSMEs manage customer interactions, and touchpoints for personalized experiences that increase customer satisfaction and loyalty. More customers mean more scaling of the business. When you think of scaling business reach and sales areas, there is no better way than going omnichannel. An E-commerce software platform that lets you build your website or integrate with marketplaces will help you reach more customers and diversify revenue streams through online sales.

#4 Significant Cost-Savings

MSMEs can achieve significant cost savings by optimizing operations and workflows, particularly by reducing employee costs. Automation to handle routine tasks like stock management, billing, CRM, warehouse operations, etc. MSMEs can reduce the need for additional labor. When you deploy software solutions you will need human involvement only for high-value activities.

When you can get a sales analytics report with a click, your sales managers will not have to spend hours creating the report by themselves. They can only spend some time implementing the insights received from the sales reports for further optimization and improvement of sales activities.

#5 Error-Free Workflows

Cloud-based solutions such as Retail Management Software and ERPs eliminate various types of errors in MSMEs’ workflows. For instance, automated workflows in billing ensure that invoice data is consistent and traceable, minimizing the chances of duplicate entries or wrong cash register entries.

Another example is automated inventory management or warehouse workflow tracking without human involvement. Automated inventory solutions integrate real-time tracking of stock movements across sales, purchases, delivery transit, and warehouse storage, ensuring that inventory records are error-free, accurate, and reliable.

#6 Enhanced Productivity

Digital technologies enhance the productivity of MSMEs by automating key tasks. For instance, the adoption of digital tools and technologies can lead to a substantial increase in productivity by up to 20% for MSMEs, says PWC. This increase in productivity is due to multiple workflow automation like inventory management, billing, CRM, and other operational processes. This also frees up the time of the managers for more strategic activities.

Example: An MSME that implements an automated inventory management system can track its inventory without manual interventions. Reorders are automated with demand forecasting analytics.

#7 Reduction in Manual Errors

By reducing manual input and automating processes, digital technologies help MSMEs reduce human errors. Automated tech like cloud technologies, Artificial intelligence, accounting software solutions, etc. have up to 99.99% accuracy and the risks of glitches are almost negligible.

Example: An MSME integrating a POS system for billing will notice a decrease in errors in billing as the software will not enter wrong dates or prices (after barcode scanning of products). Also, the total of the bill by POS systems (that have high-end computation powers) rarely can have any error.

#8 Better Compliance

MSMEs have to deal with multiple compliances from central and state government and their regulatory authorities. Most of the compliances are documentation intensive. Technology adoptions like Accounting software with GST capabilities can automate tax calculations, invoice generation, and filing GST returns ensuring accurate and timely compliance with GST regulations.

Technology enables MSMEs, especially those involved in Food business or manufacturing to maintain and manage documentation (procedural compliance). These software come with tools like audit trails, testing documentation, labeling documentation, etc.

#9 Higher ROIs

Return on Investment (ROI) is a financial metric used to evaluate the profitability of an investment. Implementing cloud-based solutions transforms capital expenditures into operational agility. Operational agility translates to higher productivity levels. Higher productivity levels mean more revenue, more sales, and a better return on investment.

For example, MSMEs deploying ERPs and managed IT services can access enterprise-grade expertise and solutions, leveling the playing field with larger competitors.

#10 Improved Time to Market

Cloud-based solutions such as ERPs and inventory management systems can significantly contribute to faster time to market for MSMEs. Cloud-based ERPs can manage business processes like order processing, purchase planning, production planning, inventory management, etc. to respond to market demands swiftly.

Cloud-based ERPs provide real-time data and analytics, empowering MSMEs to make timely informed decisions. Integrated ERP systems can keep a tab on real-time information on stock levels, customer demand, and production schedules, enabling MSMEs in the manufacturing sector or food businesses to make timely adjustments to meet market demands and ensure on-time deliveries.

#11 Better Customer Experience (CX)

MSMEs with digital technologies like CRM software integration can provide superb customer service through faster resolution (in-built chatbots), personalized recommendations for customers based on buying history, loyalty programs, memberships, etc. Access to customer data and analytics through digitization can help MSMEs further eliminate the CX bottlenecks and strategize their services as per customer preferences.

How MSMEs Can Stay Competitive and Drive More Profits with Technological Upgrades with Cloud-based Software Solutions?

In the rapidly evolving landscape of retail and small manufacturing, several next-generation technologies are poised to make a substantial impact on operations and customer experiences.

Choosing the best management software tools and applications and next-generation technologies need careful consideration because of several key factors.

Here are some of the steps that you should follow to make an informed decision

Identify your business needs: Try to find your business-specific requirements from the software and prioritize the tasks that you need to execute with the help of that software. You can consider focus factors like inventory management, sales reporting, customer relationship management, e-commerce integration, and scalability.

Evaluate functions and features: You should consider software solutions that have robust features and functionalities tailored to your business needs and can manage your workflows and activities. For example, a retail MSME business will need software that must include essential features such as inventory management, POS capabilities, CRM tools, reporting, and analytics.

Consider integration capabilities: Choose software with seamless integration capabilities with other systems and platforms used across your business branches, such as accounting software, e-commerce platforms, and payment gateways, to ensure smooth data flow. The integration capabilities define how smooth the data flow will be after installing the software in your all branches system.

Check customer support and training: Ensure the software provider offers comprehensive customer support and training resources for employees and managers, including timely technical assistance and access to training materials or tutorials to maximize the software’s potential. You must be able to assess the training materials or tutorials on YouTube or their website to help you make the most of the software.

Check Reviews and Ratings: Research and analyze reviews and ratings of the software solutions from trusted sources like Google Business Profile and existing users to gauge the overall satisfaction and performance of the software in real-world applications.

Check Experience and Expertise and Current Clientele: Consider the experience and clientele of the software provider to assess their expertise in catering to the needs of MSMEs, as well as their track record of successful implementations and support.

Evaluate through a Demo: Request a demo of the software to evaluate its user interface, functionality, and ease of use in a real-world scenario within your business environment before making a final decision.
